Post-Booking Automation in Travel: What It Is and Why It Matters
What post-booking automation is, what happens after a flight is booked, what to automate first and what to keep manual, plus a 60-day plan for Indian travel agents.

Airlines earned about $148.4 billion from ancillary revenue in 2024, up from $117.9 billion a year earlier. Seats, bags, meals and extras are all sold on top of the fare. In our experience, many agents stop at the ticket, and the stretch where travellers need help and buy extras goes to someone else.

Post booking automation means using software for the work between the ticket and the trip: sending the ticket, checking the traveller in, flagging flight changes and offering add-ons, instead of doing it by hand on every booking. Here is what happens after a flight is booked, what to automate first, and how to cut the messages that eat your day.

What Is Post-Booking in Travel?

Post-booking is everything that happens between the moment a ticket is issued and the end of the trip. Post booking services mainly do two things: keep the traveller informed, and sell the extras they need.

JobWhat it coversWhere it usually lands today
ServiceTicket delivery, web check-in, flight-change alerts, rebooking, refundsYou, by hand, on WhatsApp and the airline site
RevenueSeats, baggage, meals, travel insurance, eSIM, lounge accessOften the airline's own app or an OTA, not you

The first job costs you time. The second can earn you money. Both can run on the same messages, because a check-in reminder is also a natural moment to mention a lounge pass.

What Are Post Booking Services?

Post booking services are the tasks that fill the gap between ticket and trip. The work usually falls into four areas:

AreaServices
ConfirmBooking confirmation, ticket delivery, itinerary
ServiceSeat selection, baggage, meals, web check-in, boarding pass
ChangeSchedule changes, cancellations, refunds, rebooking
SellTravel insurance, eSIM, lounge access, airport transfers, hotels

A lot of post booking work repeats on every booking, so it is a good candidate for automation. The Change area is the exception, because it needs judgement.

What Happens After a Flight Is Booked?

After the airline issues the e-ticket, add-ons open up, the schedule can change, web check-in opens, and then the travel day arrives. Most of those stages also create another message for you to send.

StageWhat happensWhat goes wrong when it's manual
Ticket issuedE-ticket and PNR are createdThe client often gets a plain PDF and messages you to ask if it's confirmed
Add-on windowSeats, bags, meals, insurance, eSIM and lounge access can be addedNobody offers them, or the offer comes too late
Schedule changeThe airline retimes or cancels a flightYou can end up finding out when the client does
Web check-inOpens about 48 hours before domestic departure on IndiGo, closes 60 minutes beforeSomeone has to remember it for every client
Travel dayBoarding pass, gate, delaysSome clients message you for the boarding pass at the airport
After the tripFeedback, next bookingThe conversation goes quiet

The traveller sees a ticket, a reminder and a boarding pass. Behind that simple experience, you are handling ticketing, monitoring, changes, add-ons and support.

Airline rules differ, so check each airline's own page. On IndiGo, domestic web check-in opens 48 hours before departure, counters close 60 minutes before, and boarding gates close 25 minutes before. IndiGo's own page also says it can cancel a reservation if a customer misses the check-in timelines. These timings were checked in October 2026 and can change.

Why Post Booking Automation Matters

There are two practical reasons to automate it. Extras can add revenue, and every post-booking step takes someone's time.

YearAirline ancillary revenue, worldwide
2023$117.9 billion
2024$148.4 billion

That is the airlines' own ancillary revenue (IdeaWorksCompany and CarTrawler estimate), not what agents earn.

The workload is easier to see. Most of this work creates another message, form or deadline to track, and you repeat it on every booking. Clients do read these messages when they are useful: across the agents on our Post-Booking Agent, 94% of clients engage with the smart ticket we send for them.

How to Automate Post-Booking Service

Start with the work that repeats on every booking, and keep a person on anything that needs judgement. The useful kind of automation watches for an event, such as a schedule change or a check-in window opening, and takes the next step. A chatbot only answers when someone asks.

StepAutomate?Why
Sending the ticketYesSame on every booking; send it as a clear message, not a forwarded PDF
Web check-inYesTied to a deadline that differs by airline, and easy to miss at volume
Flight-change alertsYes, the alertDetect the change and tell the client early; you decide the rebooking
Add-on offers (insurance, eSIM, lounge, meals)Yes, the timing and wordingSend offers when they are useful, not all at once
Refunds, disputes, complaints, VIP clients, unusual changesNo, keep a personThey need policy knowledge and judgement, and clients want a human

The system should hand the conversation to you as soon as it needs a person, with the booking already in front of you.

How to Choose Post Booking Automation Software

Before you commit to any tool, ask the vendor to run your last 50 bookings through it. Then check these things:

Look forWhy it matters
Reads bookings automatically, from email or PDFIf you retype every booking, the work hasn't gone away
Sends on the channel your clients use (for most Indian agents, WhatsApp)A message nobody opens doesn't shrink your inbox
Knows each airline's check-in rulesWindows and cut-offs differ by airline
Detects changes and alerts earlyThe value is telling the client before they ask
Hands off to you with the booking attachedRefunds and complaints still need a person
Tracks the add-ons sold and your commissionWithout it you can't tell whether revenue is improving

How to Reduce Post-Booking Support Work

Answer the question before the client asks it. A lot of post-booking messages are variations of the same few questions:

What clients askWhat answers it before they ask
"Is my ticket confirmed?"The ticket, sent the moment it's issued
"When can I check in?"Check-in done for them, with the boarding pass sent
"My flight changed, what now?"An alert as soon as the change is detected
"Can I add a bag or a meal?"An offer sent while the add-on window is open
"Do I need insurance or data abroad?"Offers for insurance and an eSIM before the trip

Before you automate anything, count how many post-booking messages one booking creates. That number tells you what to automate first.

I would start with messages per booking and the minutes you spend after ticketing. Add-ons sold per 100 bookings tells you whether the revenue side is working, and the share of messages answered without you shows how much the automation is taking on.

A Real Example from Hyderabad

One of the agents we work with is a Hyderabad-based corporate travel agent. They now handle about 50 web check-ins a day through Flyo.

What changedResult
Web check-insAbout 50 a day for their clients
Client engagementWent up
Other servicesThey now cross-sell extras such as visa applications to the same clients
For the agentMore revenue, and more confidence in their client relationships

The check-ins raised client engagement, and that gave them room to offer other services, like visa applications, to those same clients. (Based on our work with this agent. The name is kept private.)

Your First 60 Days of Post Booking Automation

TimeframeWhat to actually do
Days 1-30Take your last 50 bookings and count the post-booking messages each one created. Note the three questions that repeat most, and list the add-ons you actually sold.
Days 31-60Automate those three first, usually ticket delivery, check-in and change alerts. Then add timed offers for insurance, eSIM and lounge access. Count messages per booking again.

What We Think Happens Next

Working with 100+ travel agents at Flyo has shown us how much of the real work happens after the booking. I believe that grows once people start using general-purpose AI agents for their trips. A lot of the useful work still happens after the booking: check-in, eSIMs, lounge access, dealing with a flight that moves.

This is the part of the workflow we are building around at Flyo: letting bots and personal agents do web check-in, buy eSIMs and book lounge access through an agent-to-agent protocol. In plain terms, one piece of software works with another instead of a person filling in forms.

Where Flyo Fits Into This

Our Post-Booking Agent handles this part of the workflow. It reads the booking confirmation from your email or PDF and sends the client a branded WhatsApp smart ticket. It also handles web check-in, flags flight changes and offers lounge access, eSIM, meals and insurance, which earn you commission when the client buys. It is live with 2,000+ travel agents and has a 4.8/5 client rating. If you are building your own tools, you can use the same web check-in capability through Flyo's Web Check-in API, which covers 500+ airlines. Airline rules differ and features may vary by plan.

Frequently Asked Questions

What is post booking in travel?
It is the work between ticketing and the end of the trip: ticket delivery, check-in, change alerts, rebooking and refunds, plus selling extras such as insurance, eSIM and lounge access. On IndiGo domestic flights, web check-in is part of it and opens 48 hours before departure.
What happens after a flight is booked?
The airline issues an e-ticket and PNR, add-ons open for seats, bags and meals, and the schedule can change. Web check-in opens about 48 hours before departure on IndiGo domestic flights, and IndiGo says it can cancel a reservation if the check-in timelines are missed. Other airlines differ.
What is post booking automation?
It is software that watches for events, such as a ticket being issued, a check-in window opening or a flight changing, and then acts on them. Flyo's Post-Booking Agent works this way for 2,000+ travel agents, and 94% of their clients engage with the smart ticket it sends.
How do you automate post-booking service?
Pick the questions your clients ask most and automate those first. Before you commit to any tool, run your last 50 bookings through it, and keep a person on refunds, disputes and complaints.
What should stay manual in post-booking?
Refunds, disputes, complaints, VIP clients and unusual itinerary changes. Automate the alert, not the decision. IndiGo, for example, can cancel a reservation if check-in timelines are missed, so a failed check-in needs a person straight away.
How do you reduce post-booking support work?
Count the messages one booking creates, then answer the most common ones before clients ask, for example with check-in reminders around the 48-hour mark on IndiGo domestic flights. Track messages per booking and your minutes after ticketing to see whether the number is falling.

The Bottom Line

Post-booking work combines customer service with a chance to sell extras, and both repeat on every booking. Start by counting the messages one booking creates. Automate the ones that repeat most, and keep a person on refunds, complaints and anything that needs judgement.
